GPSR Solutions – Subscription Policy

Effective Date: July 5, 2025

1. Scope of Service

GPSR Solutions is a subscription-based compliance support service operated by EaseCert | GPSR Compliance. It is designed for businesses marketing non-food consumer products in the European Union under Regulation (EU) 2023/988 – the General Product Safety Regulation (GPSR).

The subscription may include:

  • General Product Safety risk assessments
  • Technical documentation creation and maintenance
  • EU Declaration of Conformity drafting
  • Multilingual labeling guidance
  • Ongoing compliance monitoring and updates
  • EU Responsible Person (RP) support (only if expressly included in the service)

Each subscription tier covers a defined number of product types. A “product type” is defined based on material composition, construction, and intended use. Bundling unrelated items under a single product type is not permitted.

2. Subscription Structure and Billing

GPSR Solutions is offered as a recurring subscription, available in monthly or yearly billing cycles. By subscribing, you agree to automatic renewal at the end of each term unless canceled in advance.

Key Terms:

  • All fees are displayed in USD or in your local currency at checkout.
  • Payment is due upfront at the start of each billing cycle.
  • You authorize EaseCert to process recurring charges using the payment method you provide.
  • You are responsible for ensuring that your payment method remains valid throughout your subscription.

Pricing reflects the ongoing nature of the compliance work. This includes continuous monitoring of legislative updates, technical file updates on request, and document storage.

3. Misuse and Short-Term Subscription Abuse

EaseCert actively monitors subscription behavior and reserves the right to terminate or suspend accounts showing signs of policy abuse.

Specifically:

⚠ You may not subscribe for a single month, download documents or use our Germany-based EU Responsible Person address on product labeling, and then cancel your subscription.

The German RP address is legally valid only while your subscription is active and paid. If you cancel your subscription, the authorization to use this address is automatically withdrawn and must be removed from all product labeling, packaging, and listings.

If you are found using the RP address after cancellation:

  • A formal cease-and-desist may be issued
  • You may be reported to relevant EU market surveillance authorities
  • You may be liable for damages and costs resulting from misuse of regulatory representation

Subscription is not a one-time certification. It is a continuous compliance service.

4. Cancellation and Refunds

You may cancel your subscription at any time via your customer account or by emailing info@easecert.com.

  • Monthly Subscriptions: Cancel anytime. Service continues until the end of the current billing period. No refunds will be issued for partial months.
  • Yearly Subscriptions: If canceled within 14 days of payment and before any documentation work has begun, you are eligible for a full refund. Once documentation work starts, the fee is non-refundable and the subscription will continue until the end of the term.

5. Subscription Scope and Product Limits

Each subscription tier includes coverage for a specific number of product types. This includes:

  • Ongoing support for labeling compliance and declarations
  • Maintenance of your technical documentation
  • Updates upon request (e.g. formulation change, supplier change)

If you exceed your plan’s product limit, you must either:

  • Add individual products via the Add-On Product option, or
  • Upgrade to a higher-tier plan

We reserve the right to pause documentation work if your subscription no longer matches your actual portfolio scope.

6. Termination by EaseCert

We reserve the right to terminate your subscription immediately if:

  • You provide false, incomplete, or misleading product information
  • You use our company name, address, or RP details without active authorization
  • You reverse payment transactions without notice
  • You violate EU product safety regulations knowingly

In cases of misuse or violation, no refund will be issued and access to documentation will be revoked.

7. Service Delivery Timeframes

Delivery of compliance documentation depends on timely submission of the required product data by you (e.g. supplier documents, bills of materials, safety data sheets, images, or labels).

Estimated timelines:

  • Initial technical file: 5–10 business days from receipt of complete inputs
  • Updates or modifications: 3–5 business days
  • EU Declaration of Conformity: provided once the risk analysis is finalized and labeling requirements are confirmed

Delivery timelines are estimates and may vary based on workload, documentation completeness, and regulatory complexity.

8. EU Responsible Person Representation

If your subscription includes use of EaseCert | GPSR Compliance as your EU Authorised Representative / Responsible Person (RP):

  • You will receive a formal statement confirming this relationship
  • Your product labeling may include our designated German address only while your subscription is active
  • You must immediately cease using the address if your subscription is cancelled, lapses, or is terminated for cause

EaseCert reserves the right to notify EU customs and market surveillance authorities if your products continue to bear our details without valid authorization.

9. Legal Limitations

EaseCert acts as a service provider and is not responsible for:

  • Any damages, recalls, or enforcement actions resulting from undeclared hazards, inaccurate product descriptions, or client misuse of documentation
  • The compliance of your products with standards outside the EU GPSR scope, unless explicitly covered by a separate agreement

We are not a notified body. We do not issue certifications under medical, food, or harmonized CE directives unless otherwise contracted.
